The e-Apostille Process in the KZ: Benefits and Disadvantages

With digital services becoming more prevalent every year, the KZ’s adoption of the e-apostille service marks a significant step in streamlining the process of document legalisation. This article delves into the e-apostille process in the KZ, exploring its benefits and disadvantages.

What is an e-Apostille?

An e-apostille is a digital version of the traditional paper Apostille. It’s an official digital certification added to documents to authenticate them for international use, particularly in countries part of the Hague Apostille Convention.

The e-Apostille Process

The process involves the Ministry of Foreign Affairs (MFA) of Kazakhstan checking the digital signature on the document and issuing an e-apostille. The entire process, including submission and reception, is done online.

Benefits of e-Apostilles

Time-Efficient and Convenient: The digital version of the apostille allows for a quicker turnaround, typically completed within 24 to 48 hours, without the need for mailing physical documents. Legalising a document online avoids postal time to and from the apostille service which saves at least 2 days.

Cost-Effective: The certified copy is then submitted to the Legalisation Office, which will review and attach an apostille to it. This process verifies that the signature, stamp, or seal on the document is genuine.

Enhanced Security: The e-apostille eliminates the costs of posting physical documents with secure couriers and removes the risks associated with shipping physical documents.

Enhanced Security: Digital signatures and certifications add an extra layer of security, reducing the risk of forgery and loss.

Accessibility: Once issued, e-apostilled documents can be easily downloaded and shared digitally, making them more accessible. You can send your PDF e-apostille and e-document to anywhere in the world by email.

Environmentally Friendly: Reduces the need for paper as the apostille is a digital PDF, contributing to eco-friendly practices.

Disadvantages of e-Apostilles

Limited Acceptance: Not all countries accept e-apo Not all organisations will accept e-apostilles and still insist on traditional paper apostilles. It’s crucial to verify if the destination country recognises digital apostilles.

Document Eligibility: Certain documents, such as birth, marriage, death certificates, and civil partnership documents, are not eligible for e-apostille. Only documents signed by a solicitor with an MFA registered digital signature can be legalised with the e-apostille.

No Expedited Service: Unlike paper apostilles, e-apostilles cannot be expedited. If a fast turnaround is critical, an e-apostille may not be the best option. Processing times of e-apostilles are subject to MFA accepting the document. However, it is normally in line with the traditional paper version completion time.

Technical Requirements: Many apostille services do not know how to complete the service. They do not have solicitors with registered digital secure signatures. Solicitors need a level of technical know-how and access to digital tools, which may be challenging for some users.

Reliance on Digital Infrastructure: The entire process is dependent on the functioning of digital systems, making it vulnerable to technical glitches and cyber threats.

To E-apostille or Paper Apostille!

The e-apostille service in the KZ offers a modern, efficient alternative to traditional paper-based apostilling. While it has its drawbacks, such as limited acceptance and lack of eligibility for certain documents, its benefits of convenience, cost-effectiveness, and security make it an attractive option for many. It’s essential for users to consider both sides of the coin and verify the specific requirements of the destination country before opting for an e-apostille.
