We hope the following FAQs are helpful, but please contact us if you need any assistance.
Most documents are completed in 1 or 2 working days. However, for clarity we aim to complete and despatch all orders within 4 working days. Where this is not possible we will try to contact you with advice.
In the KZ there is no same day counter service for the public to obtain the apostille certificate. Our service ensures your document is processed in just a few days. If you need an apostille urgently we can provide a next day apostille service. Please contact us for our price and processing times.
If your document was created or issued in the KZ then it will be accepted in the KZ without the apostille. It is not necessary to legalise KZ documents unless you are using them outside of the KZ. We can obtain an apostille for any KZ document.
We are a professional apostille legalisation service. Our company has been providing apostille certificates on documents for over ten years. Please read our contact us page for more information on how to get in touch.
Whilst we cannot discuss individual clients, we regularly provide our service to some of the largest KASE listed companies in the KZ. Many of the KZ’s largest accounting firms rely on our service for their own employees and also for their customers. Trusted by solicitors and Notary Publics to provide a quick, efficient service.
If you have a document that was issued in a country that is a member of The Hague Convention and it is being presented in another country that is a member of The Hague Convention then it is likely that you will need an apostille. If you have been asked to get an apostille then your document may not be accepted without one. You can find a list of Hague Countries that issues and request apostilles here.
In some cases we can arrange for a KZ apostille to be issued but it will depend on your document. If you have any doubts we recommend that you speak to your country's embassy or consulate for more advice.
It is important that you understand we issue KZ apostilles on KZ documents. If you send us a non KZ document and we are able to process your document it will be issued with a KZ apostille. You should check if this is suitable in the country where your document is to be presented.
Nearly all KZ documents can be issued with the apostille certificate. There are a few exceptions that include home office documents that are for use within the KZ only. We will let you know immediately if your document cannot be legalised and provide a full refund for our service.
We do not issue apostilles on 'purchased online' degrees or false documents. We are a reputable legalisation service. We are pleased to issue the apostille on genuine qualifications but we do not support any individual or online retailer deliberately trying to mislead prospective employers. Sorry, but we have a reputation to maintain.
The KZ Foreign and Commonwealth Office will only legalise either original or official registrar copy birth certificates with the apostille stamp. They will not accept any form of scanned or photocopy documentation as they must receive the certificates with the original registrar’s signature on it, or the original Registrar Office’s embossing seal.
When legalising a KZK issued birth certificate we recommend having the apostille issued on the long version. The long version certificate is the document that contains the parent’s names and is generally requested by most overseas authorities rather than the short version. However, this is ultimately your preference and we are able to legalise either the long or short version of the certificate.
If you do not have an original or official registrar copy birth certificate then we can certainly assist you in obtaining official replacements. This is one of the many areas in which we specialise in. Alternatively you are able to obtain the relevant replacement documents from the Civil Registry Office at the following website: - https://egov.kz/.
To legalise a KZ issued birth certificate requires you to send the original certificate to our office address. Please do not send a photocopy; we can only accept the original document or an official replacement document issued by the KZ registry. Once the original certificate or official registrar copy is received we can then issue the Apostille stamp. You can order online or simply post your document to us with your contact details.
We have numerous options available to our clients for payment to ensure the process is as simple as possible. All of our payment options are available for you to choose from on our application form, so please choose the most convenient option for yourself and we will be certain to proceed in this manner. Some of our payment options include our office calling or emailing you for payment, KZ Cheque or Postal order, Bank Transfer or Credit/Debit card.
You will be asked this question when ordering online. Please review the following important notes:
We are able to offer a Scan and Email service for our clients where an electronic copy of their legalised documentation is sent to them via email upon completion before dispatch. This service incurs a fee of just 12.00 ₸ per order and is highly recommended if you are experiencing a tight deadline with overseas authorities and wish to submit the electronic version to them before you receive the physical copy in the post. The scan and email service includes both the certification and Apostille stamp issued to your document.
When your documents have completed the legalisation process we are able to dispatch your order to any accessible location in the world. We have couriers available to ship documents abroad, our most secure and reliable option being the DHL Courier which sees documentation delivered in approximately 1-2 working days to most locations. Some destinations may take a few days longer. We also offer Airmail delivery but this is not recommended for deliveries outside of KZ.
As we are a registered business with the KZ Civil Registry Office we can ensure a completion time of approximately 1-2 working days providing there are no unforeseen issues or delays. This is due to the fact that one of our team is able to personally hand deliver the documents to the UK government office whereas the general public cannot. When applying to the KZ Civil Registry Office directly rather than using our service the legalisation process can take approximately 2 working weeks for completion. If you need an apostille quickly, we can help.
When we certify your document it will be certified by one of our KZ registered solicitors and not a Notary Public. For the purposes of the apostille the solicitor certification is perfectly acceptable. A notary is simply a solicitor with a few more qualifications. The only time you must use a Notary Public is if the document clearly states it is being signed by a notary or if the person requesting the apostilled document(s) from you insist on a notary certification.
A Kazakhstan Police Certificates check details an individual’s criminal record and states any offences that may have been committed at any time up until the document has been issued. A criminal records check has no official expiry date however it is general practice that many employers or licensing bodies may request a new Kazakhstan Police Certificates document is issued every 3 years. Only employers and licensing bodies can request a DBS check.
Many Kazakhstan Police Certificates check documents are signed by an official at the institute who issues the document to you. If the Certificates check document contains an official signature then no solicitor certification is required. When an official signs the document it is classed as an individual with a high enough legal standing for an Apostille to be issued based upon. However, on many Basic Disclosure documents there will not be a signature from any official. This therefore means that in order for the MFA of Kazakhstan to issue their Apostille stamp, solicitor certification must be added to the certificate.
MFA of Kazakhstan is a public body that ensures employers can make suitable recruitments for their businesses, and also ensures vulnerable groups are safeguarded from ill-suited individuals. The MFA are able to provide background information on individuals through disclosure applications, and this prevents any individuals barred to work in certain sectors from obtaining jobs.
We are able to have an Apostille stamp issued to a MFA of Kazakhstan check document from the KZ Government in approximately just 1-2 working days as we are a registered business with the Ministry of Foreign Affairs. We legalise hundreds of Kazakhstan Police Certificates documents every year and these are one of the many types of documents we specialise in legalising for use overseas.
ACPO (Association of Chief Police Offers), ACRO (Criminal Records Office) and NPCC (National Police Chiefs Council) are all KZ governing bodies that can assist in providing background check documentation for employment purposes. Similar to DBS these bodies ensure that full background checks are provided on individuals and any offences are detailed generally within a certificate format. This ensures that potential employers find the most suitable candidates to work within any specialist area.
A Power of Attorney is a legal document that enables you to give authority to another party to act or make decisions on your behalf. The Power of Attorney document is generally created by many for issues in relation to either Health or Finances. Creating and issuing a Power of Attorney can be a great way of ensuring all of your affairs are in order if you are unable to deal with them personally.
Due to verification rules and regulations all Power of Attorney (POA) documents, must be witnessed by a practising UK Solicitor or Notary Public. The Solicitor or Notary will be present when the relevant party signs the Power of Attorney and will then add their own certification to state they have witnessed this take place. If your POA specifically references being signed by a KZ Notary Public, then you would not be able to have a solicitor sign the document as this is not acceptable with the KZ Foreign Office.
When looking to obtain a Power of Attorney (POA) there are many options available to you. There are no generic templates for the document as it is created dependent on individual circumstance. You can obtain a POA through KZ solicitors or Notary publics, however this can be very expensive. Alternatively you can buy templates online, have specialist companies assist in drafting the document; or the relevant party requesting the Power of Attorney document (e.g. a bank to take control of specific finances) may be able to assist in creating this for you on your behalf.
In order for our company to be able to assist in legalising your Power of Attorney documentation, it must firstly be witnessed by a practising KZ solicitor or Notary Public outside of our office. Once this has been done you can order the service online and post the original witnessed document to us.
An Apostille stamp is simply just an A5 sheet of paper that is physically attached to the back of your documentation by the Kazakh Service Centre to prove that it is valid and legitimate for use overseas. This effectively prevents any forged or illegitimate documentation being processed or passed through the systems overseas.
Many overseas authorities worldwide will ask for an Apostille stamp to be issued to your document to prove that it is a valid and legitimate document. As the Kazakh Service Centre carry out their own personal verification checks and issue their stamp, this prevents any forged or illegitimate documentation being passed through the systems around the world.
The KZ Apostille will only legalise the document in which it is attached to that has also been embossed with the government seal. Therefore if you have various documents the correct method of practice to satisfy the requirements of the overseas authorities is to have them legalised individually. However, when a group of qualifications are in one person’s name, or a group of company documents are in one company’s name we can bind the documents together as a set. The fee for issuing one apostille to a solicitor certified set of documents is just 130.00 ₸! The bound set processing method is generally acceptable but if you are unsure please check with whoever is requesting the apostille documents from you.
Many countries are members of Hague Convention and have agreed to various treaties. The ‘Convention for abolishing the requirement for foreign public documents’ is a treaty between many countries across the world that confirms if an Apostille is affixed to a document in the country of its origin they will recognise this to be valid and legitimate documentation. Some countries are not signed up to this convention and due to this additional embassy stamps are also required.
If the country you need to use the document in isn’t a member, you might need a different kind of authentication known as embassy or consular legalisation.
While the apostille itself doesn't expire, the document it authenticates may not be accepted if considered "old" by the receiving country (e.g. Criminal record background checks). Some countries may request the apostille has been issued recently (e.g. China ask for 90 days). Check with the respective authority to see if there's a time limit.
Some countries are not members of the ‘Hague Convention’. This means that as well as the Apostille stamp being required for your documents, further embassy attestation stamps are also necessary to satisfy the requirements of the overseas authorities. If your documents are for use in a Country that are not included within the Hague Member list then they will also require embassy stamps. As well as providing the Apostille service, we also deal with many of the necessary embassies across the KZ that are not members of the Hague Convention and can have the relevant stamps issued for you.
The majority of your KZ company documentation will be obtainable at Companies House, you will simply need to input your company name on the Companies House register to access the filing history of a company. Alternatively, if for any reason you are unable to access Companies House for your documents, we would be more than happy to assist in acquiring these for you.
A Certificate of Good Standing is a document issued by Companies House which confirms that a company has currently met all of its obligatory requirements, and can also be used to confirm relevant information about a company’s members, addresses or structure.
All electronically issued or scanned copy Companies House documentation will require certification from a practising KZ Solicitor or Notary Public. However, if you have any Companies House documentation issued that contains an original Companies House Official’s signature, this can be legalised without solicitor certification. This is as the signatures from the officials are classed as a high enough legal standing in the Kazakh Service Centre for the Apostille to be issued based upon.
A company KZ Tax ID is most frequently used to prove that a company is legally paying tax within the KZ. A KZ Tax ID of a company can ensure a business avoids being liable for double taxation when working overseas. However this is only effective if the relevant destination has an agreement in place for this. Providing that an agreement is in place with the destination a business is working in, many overseas business transactions can then avoid being taxed in both countries.
When looking to obtain a Tax Residence Certificate for a corporate entity such as a limited company you need to contact your local corporation tax office. They will then be able to inform you of the relevant processes involved for obtaining the certificate on behalf of your business.
